About Us:

Pembroke Medical Group is a large GP practice with over 26,000 patients based in Paignton and Torquay in South Devon.  We have 2 sites, our main site is in Preston, Paignton and we have a smaller site in the harbourside in Torquay.  We are a training practice for not only medical students and trainee GP’s but also student nurses and newly qualified pharmacists.  As a practice we are always looking to improve our patients experience and we are keen to embrace new digital solutions as part of this vision.

This is a fantastic opportunity for a Practice Manager to join our team and contribute to the success and growth of our Practice, and enable us to have a positive impact on the health and wellbeing of our patients.

The Challenge:

Pembroke Medical Group are looking for an outstanding Practice Manager who can lead and manage the day to day running of the Practice, covering particularly finance, human resources, and compliance with regulatory bodies.

We are looking for someone who has proven experience as a leader and manager ideally within a healthcare setting.  You will be focused on ensuring that our Practice delivers high quality care to our patient population.

As our Practice Manager you will be responsible for providing operational oversight and leadership to ensure the smooth running of Pembroke Medical Group. You will be passionate about providing leadership and promoting the organisations values to enable the practice to meet its agreed aims and objectives within a profitable, efficient, safe, and effective working environment. In this role you will assist the Partners in the day to day organisation and financial management of the Practice to deliver high quality care to our patient population. You will be an exceptional people manager with skills to develop our passionate and committed team.  You will assist in shaping a long term view for the practice amid the challenging and changing landscape of the NHS.

You’ll be responsible for:

  • Oversee and manage the day-to-day administrative operations of the GP practice, ensuring efficient and effective functioning working closely with Partners and management team.
  • Handle financial management tasks, including budgeting, financial reporting, and managing accounts payable and receivable.
  • Recruit, hire, and manage the administrative and support staff, providing guidance, training, and support as needed.
  • Ensure the practice’s facilities and equipment are well-maintained and meet the necessary standards and regulations.
  • Ensure compliance with all relevant laws, regulations, and professional standards, staying updated on changes and implementing necessary changes.
  • Address patient complaints and implement strategies to improve patient satisfaction, fostering positive patient relations.
  • Participate in quality improvement initiatives, analysing data, implementing process changes, and measuring outcomes.
  • Collaborate with other healthcare providers, community organisations, and stakeholders to foster partnerships, develop initiatives and enhance care coordination.
  • Stay abreast of technological advancements and implement appropriate systems to optimise practice operations.
  • Work closely with the Partners to develop and implement strategic plans for long-term success.

The Person:

The person we are looking for will be ready to take on a fast paced and exciting role where they can really make a difference.  Whilst experience of working in a Practice Manager role would be ideal it is not essential.

To help us deliver the exceptional level of care our patients deserve you must have the following skills:

  • At least three years’ experience within a leadership and management role ideally within a health care setting.
  • Experience of leading multidisciplinary teams effectively, fostering a positive and collaborative work environment.
  • Excellent communication skills with the ability to communicate with a variety of individuals and stakeholders.
  • Excellent People management skills, with an ability to coach and manage performance.
  • Proficient in financial management, including budgeting, financial reporting, and revenue cycle management.
  • Empathetic and patient-oriented mindset, with a commitment to providing excellent patient care experiences.  Experience of working with the general public.
  • Ability to think strategically and contribute to the development and implementation of long-term practice goals and initiatives.
  • Experience of liaising with external agencies and quality assurance
  • Proactive, with an ability to prioritize, delegate and motivate within a fast paced environment.
  • Ability to organize, establish and maintain effective communication within the Practice.
  • Excellent IT skills and systems knowledge, with a willingness to adapt to new technologies.
  • Good at problem solving, be a forward thinker with a solutions focused approach to implement process improvements and enhance practice efficiency.
  • Able to work under pressure, multitask and deal with an unpredictable work load.
  • Ability to analyse data and information
  • Demonstrates flexibility, commitment and adaptability
  • Enthusiastic about general practice and primary care
  • Support the equality, diversity and rights of patients, carers, and colleagues.
  • Demonstrated commitment to ethical and professional conduct, maintaining confidentiality and upholding professional standards.

You will need to act as a key point of contact for the practice with local care networks and strategy groups, therefore must be willing to travel to and attend meetings as a representative of the practice outside of core hours.

You must have a full clean driving license with access to a car and will be subject to a DBS check.

Benefits:

Full time Hours: 37.5 hours a week Monday to Friday.

Salary: £50-60,000 Dependent on experience

Holiday: 6 weeks plus bank holidays

Pension: NHS Pension
